Links
Links
Links is a personal reference library. Save a web address with a note on why it matters, and MaxSuite reads the page, writes a short description and files it under a category within a few minutes. Later you find it again by describing what it was about, not by remembering what it was called.
In the sidebar under Files → Links. Needs: nothing else switched on. Describing pages and searching by meaning use the language and embedding models set up under AI. Without them, links are still saved and found by their words.
Links screen
- Three counts across the top: Saved, Categories, and Being described, the links whose page is still being read.
- A search box that takes a description, such as "making container images smaller", with Search and Clear.
- Tabs: Everything (your links and the ones shared with you), Mine (only the links you saved) and Shared with me (links other people shared with you). Under them, one button per category to show one shelf at a time.
- One card per link: its title (click to open the page), the site, the description MaxSuite wrote, Your note, its category and tags. A search result says whether it matched by words, by meaning or both. A link someone gave you says shared with you or everyone here. If the page could not be read, the card says why; the link is still saved and still found by its address and your note. not a page marks a link that is not a web page.
- On your own links: Edit, Share, Re-describe and Archive.
Save a link
- Choose Save a link.
- Paste the Link, add Your note on why it is worth keeping, and a Category if you want one. Otherwise one is picked for you. You can also pick the Project it belongs to; it is then listed on that project's home page.
- Choose Save. It is kept at once and described in the background.
You can also paste a link to the bot in Telegram. The agent saves it for you. See Comms. Saving a link you already have adds to it rather than making a second copy, and your note is never rewritten.
Import many links
- Choose Import.
- Paste a list, one link per line. Plain addresses work, and so does the
url | titleform that OneTab exports. - Choose Import. You are told how many were imported, how many you already had, and which lines could not be read. The pages are described a few at a time.
Find a link
- Type what the link was about in the search box, in your own words.
- Choose Search. Results are ranked by how well they match, by words and by meaning.
- Choose Clear to go back to the whole library.
Edit, re-describe or archive
- Edit changes the title, your note, the category and the tags (comma separated).
- Re-describe reads the page again and writes a new description, for a link saved before a model was set up or one described wrongly.
- Archive puts a link out of the way. It leaves lists and searches but is not deleted.
Share a link
- Choose Share on one of your links.
- Choose the people to give it to. They can read the link and your note. They cannot change or archive it, and saving it themselves gives them their own copy.
- Choose × next to a person to stop sharing with them.
- To give it to everyone in the workspace, choose Share with everyone here and confirm. Stop sharing with everyone makes it private again.
Only the owner can change a link. See Sharing and visibility.
Who can do what
| Permission | Label | Lets you |
|---|---|---|
links:read | Search and read saved links | Open Links, search and read your links and the ones shared with you. |
links:write | Save and edit links | Save and import links, and edit, re-describe, archive and share your own. Deleting a link for good is done through an agent; the screen only archives. |
See People, roles and permissions.
What happens on its own
| Job | When | What it does |
|---|---|---|
enrich-pending | Every 5 minutes (*/5 * * * *) | Takes links not yet described, oldest first, reads each page and writes its description, category and search vector. A link that fails three times is left alone and stays searchable by its address and note. |
reembed-stale | Every hour at 17 minutes past (17 * * * *) | Re-embeds links whose search vector is out of date, because a note was edited or an embedding model was set up since. It runs only when an embedding model is connected, a batch at a time. |
What agents can do
An agent can save and import links, find them by description, list and read them, edit notes and tags, archive, unarchive and delete, ask for a page to be described again, and share links with named people or the whole workspace. By default reads go through, and anything that changes, removes or shares something waits for a person to approve, unless an approval rule says otherwise. Saving, importing, reading and finding links carry text from outside pages, so once a run has used one of those tools, every later change in that run asks a person. See Agents and approvals.
Read only: links.find, links.list, links.get, links.shares, links.categories
Write: links.save, links.import, links.annotate, links.archive, links.unarchive, links.reenrich, links.unshare
Reaches others: links.share, links.publish
Delete (cannot be undone): links.remove
links.savereturns at once; the page is described in the background. The person's reason goes in as their note.links.findsearches by meaning as well as words, so it is given the idea the person described rather than keywords. Each result says how it matched.links.listlists links newest first, by category or tag, and lists archived links only when asked.links.removedeletes a link for good, with its note and every share.links.archiveis the choice you can undo.links.sharegives a link to the people named and nobody else.links.publishsets a link to private (which also removes every share) or visible to everyone in the workspace.
Over MCP the same tools are named links__save, links__find and so on. See API keys and MCP access.
