Media

Media

Media is the file library: every file this deployment holds, how big it is and what it is attached to. Upload images and files here to use in pages, find out what is taking up room, and clear away files nothing uses.

In the sidebar under Files → Media. Needs: nothing else switched on.

Media screen

  • Two counts across the top: Files and Stored, the total size.
  • Add a file, for people who may manage media: drop a file in or pick one. Images can be shown inside a page; anything else is offered as a download.
  • The list of files, each with a thumbnail when it is an image, its name and type, its size, and what it is Attached to, or "nothing yet". A file uploaded here stays unattached until you attach it to something. The list has a search box and filters.
  • Test store in the toolbar, for people who may manage media.

Images (PNG, JPEG, GIF, WebP) and PDFs can be shown in the browser. Every other type is only ever offered as a download. A file can be at most 50 MB.

Files also arrive here from other places: a mail attachment you choose to Save to Media in Mail, a picture an agent's tool made and kept, pictures for landing sites, and photos and clips for Dunno's Albums.

Upload a file and use it in a page

  1. Open Media and drop the file on Add a file.
  2. It is stored, then recorded in the list.
  3. Choose Copy markdown on its row. You get a line to paste into a page: an image line for a picture, a link for anything else.

Attach a file to something

  1. Choose Attach on the file's row.
  2. Enter the Owner kind, such as page, and the Owner id of the record it belongs to.
  3. Choose Attach.

An image dropped into a page in Pages arrives here already attached to that page. Files attached to a document are kept with the document, not listed here.

Check the file store works

Choose Test store. MaxSuite writes a small file, reads it back and deletes it. If uploads are failing, this says why.

Delete a file

  1. Choose Delete on the file's row and confirm.
  2. Only the person who uploaded it, or an administrator, may delete it. Anyone else is told so.

Deleting removes the file's record from the library and cannot be undone.

Who can do what

PermissionLabelLets you
media:readView mediaOpen Media, see every file, its size and what it is attached to, and copy its markdown.
media:writeManage mediaUpload, attach and delete files (deleting only your own, unless you are an administrator) and test the file store.

See People, roles and permissions.

What happens on its own

Nothing in this module runs on a schedule. Files attached to nothing stay until somebody deletes them.

What agents can do

An agent can list the library, see how much is stored and by what, find files attached to nothing, attach a file to a record, delete a file, and test the store. It cannot upload a file here; to bring a file in it uses the Files reader (see Documents). By default reads go through, and anything that changes or removes something waits for a person to approve, unless an approval rule says otherwise. See Agents and approvals.

Read only: media.list, media.usage, media.orphans

Write: media.attach, media.testStore

Remove (cannot be undone): media.remove

  • media.list lists stored files, optionally those attached to one record.
  • media.orphans lists files attached to nothing that are more than a day old, unless told another age.
  • media.remove removes a file's record. The record cannot be put back; the stored bytes stay where they were. It works for whoever uploaded the file, or an administrator.
  • media.testStore writes a small probe, reads it back and removes it.

Over MCP the same tools are named media__list, media__usage and so on. See API keys and MCP access.
