Reminders

Reminders

Reminders are recurring nudges to yourself: a message repeated every so many minutes, but only inside the hours and days you set (module reminders). A two-hourly "stand up and stretch" does not arrive at three in the morning. This module also runs the hourly job that sends people their daily notification digest.

In the sidebar under Home → Reminders.

What you see

  • A table of your own reminders, by name:
    • Reminder: its name, with its message under it.
    • Every: the interval in minutes.
    • State: "on" or "off".
    • Last fired: when it last went off, or "never".
  • A New reminder button, and on each row Test, Done, Snooze 1h, Enable or Disable, Edit and Delete, for people who can manage reminders.

With none set, the screen says "No reminders".

Each person sees only their own reminders. Nobody else can see or edit them, admins included.

A reminder can be filed under a project. It then also shows on that project's home page. See Projects.

What you can do

Set a reminder

  1. Open Reminders and press New reminder.
  2. Give it a Name, such as "Stand up and stretch". This is the title of the notification.
  3. Optionally write the Message it should say.
  4. Set Every (minutes). It starts at 60.
  5. Set the Timezone your active hours are read in, as a name such as Europe/London. It starts as UTC. A name the system does not know is refused.
  6. Choose Send to: Every channel you have on (the default), Telegram only, Email only, Browser only, or The site only (the bell). It always shows on the bell in the app too.
  7. Press Create.

A new reminder is on, and active from 09:00 to 18:00, Monday to Friday, in its timezone. The form does not set the active hours or days. An agent can: ask it, for example, "remind me every two hours, every day, from 8 to 22". A window may run past midnight, such as 22:00 to 02:00.

Try a reminder

Press Test. It sends the reminder to you now, as a notification with its name and message, without changing its timing.

When a reminder fires

A reminder fires on its own. You get a notification with its name as the title and its message as the text, on the channels its Send to names. A mute you have set is never overridden.

It fires only when all of these hold: it is on, it is not snoozed, it is one of its active days, the time is inside its active hours, and a full interval has passed since it last fired. Each reminder is sent once, even when several servers check at the same moment.

Snooze or acknowledge

  • Snooze 1h holds a reminder for an hour without switching it off. Because the interval counts from when it last fired, it can go off again as soon as the snooze ends. An agent can snooze for any number of minutes.
  • Done acknowledges it: the next one is a full interval away, and any snooze is cleared.

Switch off, change or delete

  • Disable switches a reminder off and Enable switches it back on.
  • Edit changes its name, message, interval, timezone or Send to.
  • Delete removes it so it stops recurring.

Who can do what

PermissionLabelLets you
reminders:readView remindersSee your own reminders.
reminders:writeManage remindersSet, change, test, snooze, acknowledge and delete your own reminders, and send the workspace's due reminders and digests now.

Only an admin may pick a different moment when running the digest sweep by hand. See People, roles and permissions.

What runs on its own

JobWhenWhat it does
fire-dueEvery minute (* * * * *)Sends every reminder that is due, in every workspace, as described under "When a reminder fires".
digestsEvery hour at five past (5 * * * *)Sends the daily digest to everyone whose digest hour has come round in their own timezone: one notification summing up what they have not read in the last 24 hours. Nobody gets one when there is nothing unread, or twice in an hour.

The digest hour is part of each person's notification settings, and the digest is off until one is set. See Notifications and alerts.

Needs

Nothing else. Reminders works on its own.

For agents

An agent can list the caller's reminders, and set, change, snooze, acknowledge and delete them. Changing, snoozing and acknowledging are writes, and deleting is destructive, so by default each one waits for a person to approve it. See Agents and approvals.

When you ask an agent in your own words to set a reminder, it is set straight away, without an approval card. The answer carries an Undo that removes it. Undo is refused, and changes nothing, once the reminder has been edited, has fired or has been snoozed.

Read: reminders.list (each reminder says whether it would fire now)

Change: reminders.create, reminders.update, reminders.snooze, reminders.done, reminders.undo

Destructive (approval): reminders.remove

reminders.create and reminders.update take the name, message, interval, active hours, active days, timezone and where it is sent (several channels at once if needed). Days left out mean Monday to Friday. reminders.update can also switch a reminder off. The approval card names the reminder and says the days in words, such as "Days: every day".

Over MCP the same tools are named reminders__list, reminders__create and so on. See API keys and MCP access.
