Exchange rates and stuck entries
Exchange rates and stuck entries
The books keep each company in one currency. An entry in another currency (a cost in AMD, a vault movement in USDT, a shop order in SGD) is converted at that day's official rate, so each entry uses the rate of the day it happened, not one rate for everything.
Where rates come from
Every hour the rates job checks which currencies and days the books need, then records the rates it is missing:
| Currency | Source |
|---|---|
| Most currencies (AMD, EUR, SGD, HKD, …) | Central Bank of Armenia |
| Anything the Central Bank does not publish | European Central Bank |
| USDT, USDC | Fixed at 1 USD (decision D-021) |
| Anything neither bank publishes | You enter it by hand |
On a weekend or holiday the rate is the last one the bank published. Accounts → Rates shows each rate's source and the day it was published.
A rate you enter by hand always wins: the job never writes over it.
Held back. If an official figure moved more than 20% from the previous day's, it is not recorded. You get a message listing it. If the figure is right, enter it by hand.
Rates already used never change. Once an entry is booked with a rate, that rate is frozen. You can still add a rate for an earlier day, as long as no booked entry falls between it and the next rate.
Stuck entries
When the books can't take an entry, they refuse it and its module tries again every hour. The two usual reasons:
- No exchange rate for that currency and day.
- A shop not linked to a company. The books never guess whose money a shop's orders are.
After three identical refusals the entry is parked. It is still retried every hour, but no longer counted as a new failure. It posts by itself on the next run once the cause is fixed.
Seeing what waits
Open Books → What happened → Waiting. Entries are grouped by cause, with how many there are, which days, and what fixes it.
Fixing it
- No rate: wait for the next hourly run, or enter the rate in Accounts → Rates for the days shown.
- Shop not linked: link it to a company in Books → Books and shops.
Messages you may get
Admins get at most one message a day per cause:
- N entries can't reach the books: grouped by missing currency or unlinked shop, sent again only if the number grows.
- Exchange rates held back: a figure jumped too far.
- No official XYZ rate: no bank publishes it; enter it by hand.
- Exchange rates did not arrive: at 10:00, if a currency in use has no rate from the last 4 days.
Reconciliation
Invoices and bills are checked against the books every hour. With nothing issued yet, the page says Nothing to check yet rather than showing an empty check.
